When a general booking tool stops being enough

Bookeo and tools like it are general-purpose: appointments, tours, classes, rentals, across every industry. That breadth is the point, and for a lot of businesses it's exactly right. The limit shows up in a specific place — not in taking the booking, but in everything a venue does with it afterwards.

The honest short version

  • If you need a booking widget, a general-purpose tool is cheaper and faster to set up. Genuinely.
  • If you run a venue, the work is in pricing rules, memberships, rosters, invoicing and utilisation — none of which a generic tool is shaped around.
  • Starter is free, so you can run both for a month and see which one your staff actually keep open.
The real gap

Everything that happens after "confirmed"

Taking a booking is the easy part, and every tool on the market does it. These are the four jobs that separate a booking widget from a venue system.

01

Pricing that changes by hour and by person

A 07:00 court and a 19:00 court are not the same product. Neither is a member's rate and a walk-in's. Peak and off-peak bands per resource, member rates, promotional windows and booking-window rules are the levers that move revenue, and they need to be configuration rather than manual overrides.

02

Recurring revenue, not just transactions

Memberships, class packs and credit wallets with auto-renewal — and balances that can be spent across a court hour, a class or a coaching session. A transaction-shaped tool records payments; it doesn't hold a relationship.

03

Coaching, academies and rosters

Assigning a coach, tracking who is on a roster, invoicing an academy monthly, handling the parent who pays for two children in different squads. This is a scheduling problem with people attached, and it lives on the same calendar as the courts.

04

Knowing where the money comes from

Utilisation by hour and by resource, revenue by sport, channel and hour, and exports your finance person will accept. Without this you can't tell an off-peak problem from a pricing problem from a marketing problem.

Side by side

Where the two differ

Online booking, calendars, confirmations and reminders are common ground. This covers the rest.

FAQ

Switching questions

What does a sports-specific system do that a generic one doesn't?

Mostly it knows what happens after the booking is confirmed. Peak and off-peak rates per resource, member pricing, class rosters and coach assignment, block bookings on account, credit wallets, and utilisation reporting by hour and resource. A generic tool can take the booking; the difference shows up in everything the venue does with it afterwards.

We only need a booking widget on our website. Is this overkill?

If you genuinely only need to take bookings and nothing else, a lightweight tool is a reasonable choice and cheaper to run. Starter is free if you want to compare them side by side — it covers 50 bookings a month, which is usually enough to see whether the extra structure earns its place.

Can we keep our own payment provider?

Yes. Payments run through your own Stripe, Checkout.com or Paymob account, under your merchant account, settling directly to you. We take no commission on bookings.

How hard is it to move from a generic booking tool?

Usually easier than moving from a full club system, because there is less to bring across — typically customers and future bookings, with no memberships or credit balances to reconcile. Most venues in that position are live within a week.
